Email automation basics for funnels
Automation is what makes a funnel run while you sleep. Learn the five building blocks and the five automations worth setting up first.

Your pages collect leads; email automation turns them into customers. You do not need complicated flowcharts. A handful of simple automations covers almost every small funnel.
The building blocks
| Term | What it means | Example |
|---|---|---|
| Trigger | The event that starts something | Someone opts in, buys, or finishes a lesson |
| Tag | A label on a contact | "lead-magnet-mealprep", "customer-course" |
| Sequence (campaign) | A series of emails sent on a schedule | Five emails over six days |
| Rule | "When X happens, do Y" | When tagged "customer", remove from sales sequence |
| Workflow | A multi-step path with conditions | Opt in, wait, check purchase, branch |
Systeme.io describes its automation builder as trigger, condition and action: a trigger (such as a purchase), a condition (such as having a tag) and an action (send email, add tag, enroll in course, move a CRM deal).
Five automations every funnel needs
1. Welcome and delivery
Trigger: opt-in. Action: tag the contact with the source and send the freebie immediately. This one email gets the most opens of anything you send, so make it useful.
2. Nurture sequence
Trigger: the welcome tag. Action: three to five emails that teach, tell a story and present the offer. See the email plan in the lead magnet funnel.
3. Stop selling to buyers
Trigger: purchase. Action: remove them from the sales sequence and add a customer tag. Nothing annoys a customer faster than an email trying to sell what they just bought.
4. Customer onboarding
Trigger: purchase. Action: access details, how to get started, and a check-in a few days later.
5. Re-engagement
Trigger: no opens for a long stretch. Action: one or two emails asking if they still want to hear from you, then unsubscribe or suppress those who do not respond. A cleaner list is better for deliverability.
Name your tags so you can read them in a year
Use a pattern like source-topic for leads and customer-product for buyers: "optin-mealprep-checklist", "customer-mealprep-course". Avoid vague tags like "new" or "list2".
Deliverability basics
- Send from your own domain, not a free webmail address, and set up the domain authentication records your email tool asks for.
- Write subject lines that describe the email.
- Do not buy or rent lists.
- Remove addresses that bounce or never open.
The legal basics (US)
The FTC's CAN-SPAM guide applies to commercial email, including business-to-business. Every marketing email needs accurate header information, a subject line that matches the content, a valid physical postal address (a registered P.O. box counts), and a clear way to opt out. Opt-outs must be honored within 10 business days. Other countries have their own rules, and some require consent before you email at all.
What fits on free plans
| Tool | Free plan email allowance | Automation on free plan |
|---|---|---|
| Systeme.io | Unlimited sends, 2,000 contacts | Pricing FAQ lists 1 automation rule and 1 email campaign on free |
| MailerLite | 2,500 emails a month, 250 subscribers | 3 active automations, 5 steps each |
Both are from each vendor's own pricing page. MailerLite is an email tool with one landing page and one website on its free plan; Systeme.io includes funnels, checkout and courses in the same account. For more on the email list side, see starting an email list for free on our sister site.
Frequently asked questions
Do I need automation for a small list?
Yes, at least the welcome email and the rule that stops selling to buyers. Those two save the most embarrassment and the most time.
How many emails should a sequence have?
Three to five is plenty for a first funnel. Add more only when you see people clicking all the way to the last one.
Can I use a P.O. box as my address in emails?
Under CAN-SPAM, yes: a P.O. box registered with the U.S. Postal Service counts as a valid physical postal address.
